Enterprise service frameworks

Enterprise service frameworks

Build consistency in service coverage, responsibilities and record formats across multiple sites. Confirm the actual conditions at each site before organising annual service arrangements.

Organised in three stages

From onboarding to annual review, keep site records, track issues and provide a basis for head-office decisions.

01 · Before onboarding

Before onboarding

Clarify what will be serviced and who is responsible.

  • Compile site and equipment lists, including brands and models.
  • Collect drawings, operating condition and service history.
  • Assess existing issues, service conditions and responsibility interfaces.
  • Agree the included scope and identify matters awaiting confirmation.
02 · During service

During service

Use consistent records to connect sites and head office.

  • Record request intake and dispatch, and confirm site and spare-part arrangements.
  • Track actions, retesting and acceptance records.
  • Record unresolved items, their causes and follow-up arrangements.
  • Report service progress and issues to head office as agreed.
03 · Annual review

Annual review

Turn service records into arrangements for the next cycle.

  • Consolidate service records and unresolved items.
  • Analyse recurring issues and the associated site conditions.
  • Recommend a maintenance plan for the next cycle.
  • Develop equipment-renewal and budget-assessment recommendations.

The service process, responsibilities, reporting frequency and acceptance criteria are assessed against the equipment and site conditions and agreed for each project.

Agree each time separately

Acknowledgement, site attendance and repair are different service milestones. A commitment for one does not establish a commitment for the others.

01 · Agreed per project

Request acknowledgement time

The time from receipt of complete information through the agreed channel to registration and confirmation of arrangements. Channels, service hours and the starting conditions must be agreed.

02 · Agreed per project

Site attendance time

The time after on-site support is confirmed until personnel meet the entry conditions and arrive at the agreed location. Region, travel and site permissions must be considered.

03 · Agreed per project

Repair time

The time from the agreed starting point to completion of the work and retesting. It depends on the fault, parts, manufacturer support, shutdown windows and other conditions.

Define the agreed scope

Practical multi-site service depends on specific schedules. An annual framework does not itself mean that all repairs, replacements and parts are included in a fixed fee.

Start with site locations, brands and models, equipment quantities, current-condition information and the tasks you want included. Mark incomplete information as awaiting confirmation.
